Getting us set up on your systems

Short, step-by-step guides for the handful of things new clients usually need to do — mostly granting us access so we can start managing something. No technical background needed for any of these.

Network access

Inviting us to manage your network

If we're handling your firewall, Wi‑fi, or wired network, we'll need to be added as an admin on whichever platform runs it. You do this yourself, in your own account — we never ask for your password.

Steps to invite us to your UniFi network
  1. Go to unifi.ui.com and log in with your UniFi account.
  2. In the left-hand menu, click People.
  3. Click New Admin.
  4. Enter our email address: jd@jldlts.com
  5. Select the site(s) you'd like us to manage.
  6. Under permissions, choose Full Management so we can make changes on your behalf.
  7. Click Confirm / Save.
That's it — we'll get an email invite and accept it on our end. If it's our first time being added to a UniFi account, we may need to create a free UI account first, which takes about a minute.
Steps to invite us to your Meraki Dashboard
  1. Log in at dashboard.meraki.com.
  2. In the left-hand menu, click Organization, then Administrators.
  3. Click + Add admin.
  4. Enter our name and email address: jd@jldlts.com
  5. Under access level, choose Full Access.
  6. Review and click Save.
If you don't see "Organization" in the menu, you may not be the account Owner — ask whoever originally set up your Meraki account to do this step instead.
Steps to invite us to your Omada network
  1. Log in to your Omada Cloud Controller (via the Omada app, or omada.tplinkcloud.com).
  2. Go to Account Manager, then click Invite User (some versions show this as Add Cloud User).
  3. Enter our email address: jd@jldlts.com
  4. Select the site(s) you'd like us to manage.
  5. Under user role, choose Administrator so we can make changes on your behalf.
  6. Send the invite.
We'll need a free TP-Link ID to accept the invite — we'll set that up on our end if we don't already have one.
Steps to invite us to your Aruba Instant On network
  1. Log in to Instant On, then click the site management icon at the top of the screen.
  2. Click Management Accounts.
  3. Click Add Account.
  4. Enter our email address: jd@jldlts.com
  5. Under role, choose Administrator so we can make changes on your behalf.
  6. Click Add account to save.
We'll get an email invite and accept it on our end — no passwords need to change hands.

Cloud mail

Giving us admin access to your mail platform

For platforms like Google Workspace, we don't need a full paid mailbox — just an admin-only login. Done the right way, this doesn't add anything to your monthly bill.

Steps to give us admin access to your Google Workspace
  1. In your Google Admin console, go to Billing → Subscriptions. If Cloud Identity Free isn't listed as active, click Buy or Upgrade, scroll to the bottom, and activate it — it's free.
  2. Go to Billing → License Settings and turn off Automatic Licensing.
  3. Go to Directory → Users and click Add New User:
    • First name: JLD
    • Last name: LTS
    • Username: jldlts@yourdomain.com (using your actual domain)
  4. Once the user is created, click Assign licenses at the top and check only Cloud Identity Free — leave every paid option unchecked.
  5. Open the new user's profile, go to Admin roles and privileges → Assign roles, check Super Admin, and click Save.
Do steps 1 and 2 before step 3 — if Automatic Licensing is still on when the account is created, Google may assign it a paid license automatically, which is exactly what this avoids. Once it's set up, send us the initial password through our secure submission form rather than by email — never send passwords in plain email.

Steps to give us admin access to your Microsoft 365 / Exchange
  1. Sign in to the Microsoft 365 admin center at admin.microsoft.com.
  2. Go to Users → Active users, then click Add a user.
  3. Fill in the basics:
    • First name: JLD
    • Last name: LTS
    • Username: jldlts@yourdomain.com (using your actual domain)
  4. On the Assign product licenses step, skip assigning a license — no paid seat is needed for admin access.
  5. Expand Roles, and assign both:
    • Exchange Administrator — full control of Exchange Online and mail flow
    • Compliance Administrator — needed for things like Microsoft Purview Message Encryption (encrypted email)
  6. Review your selections and click Finish adding.
We deliberately don't ask for Global Administrator — Microsoft's own guidance recommends against handing that out unless absolutely necessary, and Exchange Administrator + Compliance Administrator covers everything we need for mail flow, security, and encryption. Once it's set up, send us the initial password through our secure submission form rather than by email.

Steps to give us admin access to your Amazon WorkMail
  1. Sign in to the AWS Management Console and go to the IAM service.
  2. In the left-hand menu, click Users, then click Create user.
  3. Set a username (e.g., jldlts), and check Provide user access to the AWS Management Console. You can let AWS auto-generate a password.
  4. On the permissions step, choose Attach policies directly.
  5. Search for and check AmazonWorkMailFullAccess.
  6. Review and click Create user.
Amazon WorkMail doesn't have its own separate "invite an admin" system the way Google or Microsoft do — access is granted through a regular AWS user in your account instead. This policy also includes a few related permissions WorkMail itself depends on (Directory Service, SES, and read-only access to EC2 and KMS) — not unlimited access to your whole AWS account, but broader than WorkMail alone. Once the user is created, send us the password through our secure submission form rather than by email.

Steps to give us admin access to your Zoho Mail

Unlike Google Workspace, Microsoft 365, and Amazon WorkMail above, this one isn't free. Zoho Mail doesn't have a free admin-only account option — every user, including an admin-only account, uses one of your paid seats once your organization has more than 5 users total. Before doing anything below, check your current user count in the Admin Console under Users:

  • Fewer than 5 users on the Free plan? Adding us stays free.
  • Already at 5 users on the Free plan? Adding us moves your entire organization to a paid plan — not just a small add-on, everyone's seat starts being billed. Worth knowing before you proceed.
  • Already on a paid plan? Adding us just adds one more per-user charge at your existing rate (Zoho Mail Lite starts around $1/user/month).
  1. Log in to the Zoho Mail Admin Console and click Users in the left-hand menu.
  2. Click Add at the top of the page.
  3. Fill in:
    • First name: JLD
    • Last name: LTS
    • Username: jldlts@yourdomain.com (auto-fills from your domain, edit if needed)
  4. Click Auto-generate to create a password.
  5. Under Select Role, choose Administrator.
  6. Leave Send credentials via email unchecked — we'll get the password a different way (see below).
  7. Click Add.
Only the account owner (Super Admin) can set a user's role at creation time — if you're not sure whether that's you, check with whoever originally set up your Zoho account. Once the account's created, send us the password through our secure submission form rather than by email.
